Certyneo × Zoho CRM — eIDAS e-signature tracked on your contacts
Every Certyneo signature event (sent, viewed, signed, declined) is written automatically as a note on the matching Zoho CRM contact, found by e-mail address. Your reps see where the deal stands without leaving Zoho, and no document ever leaves Certyneo.
Requires a Certyneo account and a Zoho CRM account, including the free edition. Included in every Certyneo plan at no extra cost.
Why connect Certyneo to Zoho CRM
The integration is built for teams who manage their customers in Zoho CRM and want to know where a signature stands without leaving their CRM.
One note per event, on the right contact
Each event you pick creates a timestamped note on the signer's Zoho CRM contact: document name, status, the reason for a decline when one was given, and a link to the Certyneo envelope.
One contact per signer, no duplicates
The signer is matched by email address. If they don't exist yet, the contact is created once: later sends add their notes to that same contact.
Every Zoho data centre
Europe, United States, India, Australia, Japan, United Kingdom, Canada, Saudi Arabia: you pick yours when connecting, and authorisation happens directly on your Zoho account's domain.
No document ever leaves Certyneo
Only text notes are written to Zoho CRM. PDFs, signed or not, and their evidence file stay with Certyneo, hosted in the European Union.
Which events become notes?
You choose the events in Settings → Integrations. Out of the box, only a fully signed envelope creates a note; the others are one click away.
| Event | What the note says |
|---|---|
| Envelope created | The document has just been prepared, before anything is sent. Useful to trace a file still being put together. |
| Envelope sent | The document has just been sent for signature. The note names the document and the signer. |
| Recipient opened | The signer opened the document but hasn't signed it yet. |
| Recipient signed | This signer has signed; other signers on the same envelope may still be pending. |
| Envelope signed | Every signer has signed: the document is final. The note links back to the envelope in Certyneo. |
| Envelope declined | The signer declined to sign. The note includes their reason if they gave one. |
| Envelope cancelled | The sender cancelled the envelope before all the signatures were collected. |
| Envelope expired | The deadline passed before every signer had signed. |
Notes are written in your Certyneo account's language, titled "event — document name".
Connect Zoho CRM in 4 steps
It takes about two minutes. You need a Certyneo account and a Zoho CRM account; you grant access from your own Zoho account.
- 1
Open Settings → Integrations
In Certyneo, open Settings, then Integrations, and find the Zoho CRM card.
- 2
Pick your data centre
Select the domain you use Zoho on, for example zoho.eu or zoho.com, then click "Connect Zoho CRM".
- 4
Choose the events, then test
Tick the events to turn into notes and save. Then send a document: the note appears on the signer's contact in Zoho CRM.
Security and compliance
The Zoho CRM integration follows the same rules as the rest of Certyneo: minimal access, encrypted tokens, full disconnection at any time.
- Zoho access tokens encrypted with AES-256-GCM, never stored in plain text.
- Limited permissions: read and create contacts, create notes, read your Zoho organisation's basic details. Certyneo can neither read your notes nor change your deals.
- No document or attachment is sent to Zoho: only text notes are written there.
- When you disconnect, Certyneo revokes its access with Zoho and deletes its tokens: the app disappears from your Zoho connected apps.
Frequently asked questions
Which Certyneo plan includes the Zoho CRM integration?
Every plan, including the free one, at no extra cost. On the Zoho side, the integration also works with the free edition of Zoho CRM.
My Zoho account is hosted outside Europe. Is that supported?
Yes. Certyneo supports Zoho's data centres in Europe, the United States, India, Australia, Japan, the United Kingdom, Canada and Saudi Arabia. Pick yours on the Zoho CRM card before connecting.
What happens if the signer doesn't exist in Zoho CRM?
Certyneo creates the contact from their name and email address, once. Later sends to the same signer add notes to that contact without creating a duplicate.
What Zoho CRM data can Certyneo see?
Only your contacts, to find the signer from their email address. Certyneo reads neither your notes nor your deals, and sends no document to Zoho.
How do I disconnect Zoho CRM?
In Certyneo: Settings → Integrations → Disconnect, on the Zoho CRM card. Certyneo revokes its access with Zoho and deletes its tokens; notes already created stay in your CRM.
Do I need to install an app from Zoho Marketplace?
No. The integration connects directly from Certyneo using Zoho's standard authorisation: there is nothing to install in your CRM.
