Certyneo × Salesforce — eIDAS electronic signature from the record

A quick action on the Opportunity, Contact or Account picks up the files already attached, pre-fills the signers from your contact roles, and sends. Every signer's status comes back into Salesforce, on a record you can report on.

Requires a Certyneo account on the Standard plan or above (REST API access), and Salesforce Lightning Experience.

What the integration changes day to day

The point is not one more tool, but removing the round trips between the CRM and the signature platform.

  • Send from the record, not from another tab

The files already attached to the record are offered as they are, and the signers come from your contact roles or the account's contacts. Nothing to re-upload, nothing to retype.

  • Signature boxes land where they belong

You say once what text to look for in your contracts — "Signature", "Agreed and accepted" — and each signer gets their box next to their own line. If the text is missing, the box goes at the bottom of the last page.

  • Status comes back into Salesforce

A Certyneo Envelope record tracks every send: who has signed, who has not opened it yet, when it completed. It is an ordinary object, so reports and dashboards work on it.

  • A signature you can defend, not just a ticked box

Simple, advanced or qualified signature under eIDAS, including the embedded-seal variant French filings require. Every envelope keeps its audit trail: identity evidence, timestamps, document hashes.

Two halves, adopted separately

The integration is two independent pieces. You can install just one — neither assumes the other.

The AppExchange package (Salesforce → Certyneo)

Installed in your org, it adds the quick action, the tracking objects and a scheduled status sync.

  • "Send for signature" action on Opportunity, Contact and Account
  • Envelope and Recipient objects, reportable and dashboardable
  • Status synced every 15 minutes, with no public entry point into your org

The Certyneo connection (Certyneo → Salesforce)

Set up from your Certyneo settings, it pushes events into Salesforce the second they happen.

  • Real time rather than a 15-minute cycle
  • Works for envelopes created outside Salesforce too
  • Connected and disconnected from Certyneo, without touching the org

The package alone is enough to send and track. The connection alone is enough to receive events. Together you get sending from the record and real-time status.

What lands in Salesforce

Tracking metadata only. The signed document stays in Certyneo, where its audit trail lives; the Salesforce record carries a deep link to it.

EventWhat is written in Salesforce
envelope.sentEnvelope status set to Sent, send date stamped, recipients created as Sent.
recipient.viewedThe recipient moves to Viewed: the document was actually opened.
recipient.signedThe recipient moves to Signed, with the time they signed.
envelope.completedStatus Completed, completion date, link to the signed document and its audit trail.
envelope.declinedStatus Declined. The recipient concerned moves to Declined, so you know who blocked it.

No Salesforce contact is transmitted to Certyneo: only the name and address typed into the send form leave the org, and nothing else.

Installing it, step by step

Around ten minutes for an administrator, once the package is available in your org.

  1. 1

    Install the package

From AppExchange once it is published, or from the install link we give you during the beta.

  2. 2

    Paste your API key

Setup → Named Credentials → Certyneo. The key comes from your Certyneo settings. Do not copy the word "Bearer" with it: Salesforce adds it, and doubling it produces an error that looks like a bad key.

  3. 3

    Assign the permission sets

"Certyneo User" to the reps, and both "Certyneo User" and "Certyneo Administrator" to whoever will schedule the status sync.

  4. 4

Add the action to your page layouts

The "Send for signature" action does not appear on its own: the package does not rearrange your layouts, so you decide where it goes.

  5. 5

    Start the status sync

One line to run once in the Developer Console. Four scheduled jobs then appear in Setup, and you can stop them at any time.

Ready to try it?

Create a Certyneo account, generate a test API key, and rehearse the whole flow in a sandbox: test envelopes do not draw on your quota.

Security and compliance

The package is built for Salesforce's ISV security review, which imposes constraints that are useful well beyond the review itself.

  • Your API key lives in a Named Credential: Salesforce encrypts it, and the package's own code cannot read it.
  • Two separate permission sets: reps can send, only administrators can delete the audit records.
  • No public site, no guest user, no inbound entry point created in your org.
  • EU-hosted infrastructure, ISO 27001 certified, subprocessors published.

Frequently asked questions

Is the app on AppExchange already?

Not yet. The package is built and tested and the submission is under way, but Salesforce's ISV security review is measured in months rather than weeks. Until then we install the package by hand for orgs joining the beta.

Which Certyneo plan does it need?

Standard at a minimum, because it is the first plan with REST API access, which the package uses. The Free and Personal plans are fine for trying Certyneo itself, but cannot connect Salesforce.

Which objects can I send from?

Opportunity, Contact and Account today. The envelope keeps a link to the record it came from, so every send tied to a deal shows up in the related list.

Can I choose the signature level?

Yes, per envelope: simple, advanced, advanced with an embedded seal, or qualified. The administrator sets a default and the sender changes it case by case.

How fast does status come back?

The package polls Certyneo every fifteen minutes. For real time, add the Certyneo → Salesforce connection from your Certyneo settings: it pushes events the second they happen. The two can run side by side.

Does the interface follow my users' language?

Yes. Every label goes through Salesforce's translation system, in English, French, Spanish, German, Italian and Dutch. A rep in Madrid and a rep in Lyon each see their own language in the same org.

What leaves my Salesforce org?

Only what the user selected: the files they ticked, and the name and email address of the signers they entered. No contact record, no opportunity data, nothing implicit.
